What it's for
A daily report is the record of one day on a job: who was on site, what got done, what arrived, who came to inspect and what held the work up. This construction daily report template lays that day out on a single worksheet under your letterhead, for the superintendent, foreman or project manager to fill in each working day.
It can go to the owner or general contractor, or stay in your job file as the daily log. Kept every day, the reports show when each trade was on site, what was delivered and when work stopped or changed. End-of-job fix lists go on the punch list template.
What's inside
The workbook has two sheets. Daily report is the form, with your letterhead across the top and REPORT NO., DATE and PROJECT under the DAILY REPORT title. Below that, in order:
- WEATHER: AM WEATHER and AM TEMPERATURE, PM WEATHER and PM TEMPERATURE, and SITE CONDITIONS.
- CREW ON SITE: 12 lines under TRADE OR COMPANY, WORKERS and TOTAL HOURS, then a Total crew row.
- WORK PERFORMED: 8 full-width lines.
- DELIVERIES: 6 lines under SUPPLIER, MATERIAL and QTY.
- EQUIPMENT ON SITE and INSPECTIONS AND VISITORS: 6 lines each.
- SAFETY OBSERVATIONS and DELAYS OR ISSUES: 4 lines each.
- PHOTOS (FILE NAME OR REFERENCE): 6 lines.
- SIGNATURE: PREPARED BY and DATE.
Every field under the letterhead starts blank. A key reads "Pale yellow cells are yours to fill in" and "All other cells are locked". The only formulas are the two totals on the bright yellow Total crew band, which stay blank on an empty form. The sheet is protected with no password, so they can't be typed over by accident.
It prints on two Letter pages, portrait, one page wide by two tall, with your company block, report number, date and project repeated at the top of the second. Our credit sits at the foot of the form and in the page footer.

How to fill it in
- Type your company details over the yellow letterhead and insert your logo at YOUR LOGO. Save that as your blank, and start each day from a fresh copy.
- Fill in REPORT NO., DATE and PROJECT. Number each day's report in sequence.
- Under WEATHER, fill in AM WEATHER and AM TEMPERATURE, then PM WEATHER and PM TEMPERATURE. Use SITE CONDITIONS for the ground and access, such as mud or a blocked gate.
- Under CREW ON SITE, give each trade or company a line. Total crew adds up the WORKERS and TOTAL HOURS columns, so enter each line's hours as the total for everyone on it, not one worker's day. Both columns take numbers only: a word gets "Enter a number, 0 or more."
- Under WORK PERFORMED, write what each crew did and where. DELIVERIES has no unit column, and QTY takes numbers only, decimals included, so name the unit under MATERIAL.
- Under DELAYS OR ISSUES, write what stopped or changed the work, when, which crews it held up and who directed any extra work. - List photos under PHOTOS (FILE NAME OR REFERENCE), then sign: your name at PREPARED BY, and the DATE.
Keeping a daily report that holds up
Write it the same day, while the times and names are fresh. A report written up at the end of the week is a reconstruction.
Stick to what happened. Write down what you saw and when, and leave out blame, opinion and guesses about cause.
Be specific: times, quantities and locations, each inspector's name and agency, each visitor's company, the weather as you saw it rather than the forecast, and each photo by its file name or number, so it ties back to its day.
Sign it and keep a PDF or printed copy in the job file. Correct a mistake with a note in the next day's report, not by editing a signed one, and write a short report for a day the site sat idle, saying why.
Frequently asked questions
Does the file do any math?
Only in the Total crew row, which adds up the WORKERS and TOTAL HOURS columns. The file has no macros.
Can I fill it in on a phone or tablet?
Yes, in an app that opens .xlsx files: Excel, Numbers and Google Sheets all do, and each has phone and tablet versions. Its only formulas use SUM and ROUND, which all three support.
Can I add rows?
Yes. Turn off the sheet's protection (it has no password) and insert them. For more crew lines, insert rows between two of the 12 so the Total crew formulas take them in.
Can I put my logo on it?
Yes. Insert it where the sheet says YOUR LOGO. That row is 36 points tall, so there's room for a logo without dragging the row taller. To remove the YOUR LOGO text, choose Review > Unprotect Sheet (there is no password), then protect the sheet again. Then type your company details over the yellow letterhead.
